How to Hire a Web Designer in Kenya Without Getting Burned

Most people who hire a web designer in Kenya are fine. The ones who are not tend to share the same story.

The deposit went out on a Monday. Fifty percent, as agreed, over M-Pesa.

For two weeks the replies came quickly. Then they slowed. Then a design appeared that looked nothing like the discussion, and the revisions took another month. Eventually the messages stopped entirely, and the money was gone along with them.

Almost every Kenyan business owner knows somebody this happened to. Consequently, many people approach the decision expecting to be disappointed.

You can hire a web designer in Kenya with confidence, and the difference comes down to a handful of questions asked before any money moves. This guide covers all of them.

Why This Market Is Difficult to Judge

Anybody can hire a web designer in Kenya, and almost anybody can become one. The field carries no licensing body, no required qualification, and no meaningful barrier to entry. Somebody who completed athree-weekk course and somebody with eleven years of experience can present themselves identically.

Portfolios compound the problem, because a portfolio shows outcomes rather than process. A beautiful screenshot tells you nothing about whether the project ran on time, whether the client owns their domain, or whether the site still works two years later.

Price offers no guidance either. Quotes for the same brief routinely range from KES 5,000 to KES 500,000, and the highest number is not automatically the most competent. Our guide to what a website costs in Kenya explains what actually drives that spread.

Therefore, you need your own method rather than a gut feeling.

Decide What You Need Before You Speak to Anybody

Walking in without this is how scope and budget escape you. Prepare these five items before you hire a web designer in Kenya, or before you even take a first call.

Write down the job. What should the website achieve within six months? Enquiries, bookings, applications, or simple credibility.

Count the pages you actually need. Most service businesses require fewer than they assume.

List the functions. A contact form is straightforward. Booking, payments, member logins, and portals are each substantial additions.

Set a budget range and be willing to say it. Withholding your budget does not protect you. It simply means every quote you receive is a guess.

Gather your content. Service descriptions, your story, logo files, photographs, testimonials. Delayed content causes most project overruns, as our post on how long a website takes to build explains.

Where to Find Candidates

Referrals from businesses similar to yours, ideally with sites you can visit and judge.

The footers of sites you admire. Many studios credit themselves there.

Search results, because a web designer who cannot rank their own site has told you something useful.

Professional networks rather than open freelance marketplaces, where the race to the bottom on price tends to produce exactly what it sounds like.

Assemble three candidates. Fewer gives you no comparison, while more turns into a research project you will abandon.

The Five Questions That Matter

These five questions decide whether you hire a web designer in Kenya well or expensively. Ask every candidate the same five, then compare the answers rather than the prices.

Who will own the domain, hosting, and website files? The only acceptable answer is you. Anything else creates a lock-in you will discover at the worst possible moment. Our post on who actually owns your website explains what goes wrong.

Will I be able to update content myself? If not, every small edit becomes an invoice and a delay.

What exactly is excluded from this quote? This single question surfaces more than any other. Ask it directly and let the silence do the work.

What happens after launch, and for how long? Support, fixes, and training either exist in writing or do not exist.

Can I see two sites you built over a year ago? Anybody can show a launch from last month.

How to Read a Portfolio Properly

Screenshots prove nothing. Visit the actual websites.

Check they are still live. Dead links in a portfolio suggest clients who left and did not renew.

Open every one on your phone, on mobile data rather than wifi. Count the seconds until the page becomes usable.

Look for variety. Ten sites sharing one layout means one template applied ten times.

Find the older work. Sites built two or three years ago reveal whether the work lasts.

Contact one past client. A short message asking whether the project finished on time and whether handover went smoothly is entirely reasonable, and most owners will answer honestly.

What a Fair Quote Contains

When you hire a web designer in Kenya, the quote itself tells you how the project will run. A quote worth considering states the number of pages, what functionality is included, who writes the copy, who supplies images, how many revision rounds are covered, the launch date, the payment schedule, what happens after launch, and what falls outside the scope.

A quote that says website design, then a figure, is not a quote. It is an invitation to a disagreement later.

Compare like with like. One candidate including copywriting and photography against another supplying neither is not a price comparison at all.

Deposits and Payment Terms

Fifty percent to start and fifty percent before launch is the common structure in Kenya, and it is fair to both sides. You risk half. They work for half.

Be cautious about paying everything upfront, particularly with somebody you have not worked with before. Equally, expect to pay something at the start, because nobody serious builds first and invoices afterwards.

Pay in a way that leaves a record. Keep the invoice, the receipt, and the written scope in one place.

Put It in Writing

A contract need not be elaborate. It should name the scope, the price, the payment schedule, the timeline, the number of revisions, and ownership of the domain, hosting, files, and content.

That last clause is the one people omit, and it is the one that matters most when a relationship ends badly.

Where significant money is involved, have an advocate look at it.

Red Flags

These are the signals worth walking away from when you hire a web designer in Kenya.

A quote arriving without any questions about your business. Nobody can scope work they have not understood.

Guaranteed first position on Google. Nobody can promise this. Anybody claiming otherwise is either uninformed or dishonest.

Registering the domain in their own name. Sometimes convenience, sometimes deliberate, always your problem.

Refusing to put scope in writing.

A price dramatically below everybody else. Something has been removed, and it will be the parts you cannot see. Read why cheap websites cost more long term.

Communication that is already slow during the sales conversation. It will not improve once they have your deposit.

What Handover Must Include

Before you pay the final instalment, confirm you have received the registrar login with your name as registrant, the hosting control panel login, administrator access to the website, a backup of files and database, any third party accounts created for you, and brief documentation for basic updates.

Withholding the final payment until handover is complete is normal and reasonable. Say so at the start rather than at the end.

Frequently Asked Questions

How much should it cost to hire a web designer in Kenya? Professional small business builds generally start around KES 65,000, rising with pages, functionality, and content creation. Below roughly KES 50,000, something is usually being removed quietly.

Should I hire a freelancer or an agency? Freelancers often cost less and suit smaller projects. Agencies bring continuity when somebody falls ill or moves on. Judge the individual rather than the category.

How long should the project take? Days for a focused build with content ready, or three to six weeks at a conventional agency. Longer than that for a simple site deserves an explanation.

What if the designer disappears after taking my deposit? Gather your evidence, request the domain and files in writing, and contact the registrar about ownership. Take legal advice where the sum is significant.

Do I need to know anything technical? No. The five questions above require no technical knowledge, and the answers tell you almost everything.

Can I change designers midway? Yes, if you own the domain, hosting, and files. That is precisely why those clauses matter.

Ask the Five Questions

People who get burned when they hire a web designer in Kenya rarely lack judgement. They simply never asked who would own the domain, or what was excluded, or what happens after launch.

At Africa Web Experts the answers are published before you ask. Websites from KES 65,000, live in seventy two hours, with the domain, hosting, and login handed to you on launch day. Six builds a month, which is why the date holds.
